1. Booking & Payment
To confirm your place, the following deposit is required at the time of booking:
One-week booking: $1,000 USD per person.
Two-week booking: $750 USD per person per week, totalling $1,500 USD per person.
The deposit forms part of the total retreat package price. It is non-refundable for guest cancellations, subject to the provisions below and applicable law.
Full payment is required no later than 60 days before the retreat start date. Bookings made within 60 days of departure require full payment immediately.
If full payment is not received by the deadline, Oceanic Ventures may cancel the reservation following written notification. The applicable cancellation charges in Section 2 will apply.
Early Bird rates apply only where the payment requirements and deadline stated in the specific offer are met.
Guests are responsible for bank or transfer fees associated with their payments.
All amounts stated in these terms are in United States dollars (USD).
For combined or two-week bookings, payment and cancellation deadlines are calculated from the first day of the booked journey. Unless otherwise agreed in writing, cancellation charges apply to the total booked package.
2. Guest Cancellation Policy
All cancellations must be submitted in writing to ahoy@oceanicventures.co. The cancellation date is the date the email is received.
The following cancellation charges apply, except where applicable law requires otherwise.
More Than 90 Days Before the Retreat
The applicable booking deposit is retained as the cancellation charge.
Any payments received above that amount may be transferred as credit toward a future Oceanic Ventures retreat, subject to availability.
No cash refund is provided unless required by applicable law.
Between 90 and 60 Days Before the Retreat, Inclusive
The cancellation charge is 50% of the total retreat package price, including the applicable booking deposit.
The deposit is not charged in addition to the 50%.
Any payments received above the cancellation charge may be transferred as credit toward a future Oceanic Ventures retreat, subject to availability.
No cash refund is provided unless required by applicable law.
Less Than 60 Days Before the Retreat
The cancellation charge is 100% of the total retreat package price.
No cash refunds or credits toward future retreats are available, except where required by applicable law.
Transfer of the booking to another eligible guest remains possible under Section 5.
Cancellation Credits
Where a cancellation credit is available:
The replacement retreat must begin within 12 months of the original retreat start date.
Bookings are subject to availability and written confirmation.
Any difference where the replacement retreat costs more must be paid by the guest.
Any unused credit retains its original expiry date and has no cash value, except where required by applicable law.
Cancellation charges are subject to any mandatory requirements concerning reasonable charges, costs saved and income received from reselling a cancelled place.
3. Travel Insurance & Liability
Guests must obtain comprehensive travel insurance covering:
Medical emergencies and, where appropriate, evacuation and repatriation.
Trip cancellation and interruption.
The activities in which they intend to participate, including relevant swimming, snorkelling, freediving or aquatic activities.
Guests should check policy exclusions and coverage limits directly with their insurer. Proof of insurance may be requested before participation.
Guests are required to review and sign an activity consent and liability waiver before participating. These documents do not exclude rights or liabilities that cannot lawfully be excluded.
Guests must disclose relevant health conditions or limitations that may affect safe participation and follow reasonable safety instructions.
Oceanic Ventures does not reimburse independently incurred costs arising from travel delays, flight cancellations, illness, injury or personal emergencies, except where Oceanic Ventures is legally responsible or applicable law requires otherwise.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited.
4. Refunds & Organizer Cancellations
If Oceanic Ventures cancels a retreat for reasons within its control, all payments received for the cancelled retreat package, including the deposit, will be refunded.
Refunds will be processed without undue delay and within any deadline required by applicable law.
Costs paid to third parties for flights, accommodation outside the package, visas, insurance or other independent arrangements are not included in the retreat package refund. This does not limit any entitlement to compensation under applicable law.
Guest cancellations are governed by Section 2.
4.1 Force Majeure & Geopolitical Events
Events beyond Oceanic Ventures’ reasonable control may include war, armed conflict, government travel restrictions, border closures, natural disasters or similar extraordinary circumstances that prevent or significantly affect the retreat.
If such circumstances arise, Oceanic Ventures will inform guests as soon as reasonably possible and explain the available options.
Where feasible, guests may voluntarily choose to transfer their booking in full to an alternative retreat date, subject to availability and written agreement.
Where applicable law entitles a guest to a full refund, that refund will be provided without a deposit deduction. Guests will not be required to accept a credit or postponement instead of a refund to which they are legally entitled.
Where applicable law permits a cancellation deduction, any deduction will be limited to reasonable, documented and legally recoverable costs, up to a maximum of $750 USD per person per booked retreat week, and will not exceed the amount paid. Oceanic Ventures will provide an explanation of the deduction upon request.
5. Participation & Activities
Guests must be 18 years or older to attend independently.
Children under 18 may attend only with prior written approval from Oceanic Ventures and must be accompanied by a parent or legal guardian. Participation in individual activities may be subject to additional age and safety requirements.
Transfer to Another Guest
A guest may request to transfer their booking to another eligible person by emailing ahoy@oceanicventures.co at least 14 days before the retreat start date.
The replacement guest must meet the participation requirements and accept the booking terms and relevant activity documentation.
Any reasonable, documented costs of arranging the transfer will be communicated before confirmation and will not exceed the actual transfer costs.
Requests received less than 14 days before departure will be considered where reasonably practicable. Any broader transfer rights provided by applicable law remain unaffected.
A transfer to another guest is distinct from a credit toward a future retreat and may remain available even where cancellation credits are unavailable.
Attendance & Safety
No refunds or credits are provided for voluntary late arrival, early departure or missed activities or meals, except where required by applicable law.
Participation in activities is voluntary and subject to weather, local conditions, safety requirements and suitability.
Guests must follow reasonable instructions from facilitators, guides and crew. Participation in an activity may be restricted where reasonably necessary for the safety of the guest or others.
Wildlife encounters, including dolphin sightings and interactions, cannot be guaranteed.
6. Changes to Terms & Program
Updates to these Terms & Conditions apply to new bookings. Existing bookings remain subject to the terms accepted at the time of booking, unless otherwise agreed or required by law.
Reasonable changes to schedules, facilitators, routes or activities may be necessary because of weather, safety, local conditions or operational requirements.
Oceanic Ventures will communicate significant changes as soon as reasonably possible. Any rights to accept an alternative arrangement, cancel or receive a refund following a significant change remain governed by applicable law.
These terms form part of the booking agreement and must be made available to guests before booking confirmation.
Specific arrangements agreed in writing form part of the booking agreement. Nothing in these terms limits mandatory consumer rights.
7. Referral Programs & Promotional Offers
7.1 Community Referral Program
Oceanic Ventures may offer a Community Referral Reward for personal referrals made by past participants or trusted community members.
To qualify:
The referred guest must identify the referrer before booking.
The referred guest must complete full payment of the retreat or training package.
The referred guest must attend the retreat or training.
Referral rewards are issued only after full payment has been received and the referred guest has begun attending the retreat or training.
Unless otherwise confirmed in writing, the standard Community Referral Reward is $250 USD in credit toward future Oceanic Ventures retreats, trainings or private sessions.
Referral credits:
Are non-transferable.
Have no cash value unless explicitly agreed in writing.
Cannot be combined with other promotional agreements unless approved in writing.
Are valid for 12 months from issuance. The service booked using the credit must begin within that period.
Oceanic Ventures may decline a referral reward in cases of misuse, self-referral or competing referral claims. Any competing claims must be resolved before the reward is confirmed.
7.2 Ambassador & Partner Referral Agreements
Oceanic Ventures may enter into formal referral or ambassador agreements with selected individuals or organizations.
These agreements:
Require written approval.
May include commission-based compensation.
Are governed by separate written agreements.
Do not arise automatically through participation in the Community Referral Program.
Commission-based compensation is available only where expressly agreed in a written agreement signed by Oceanic Ventures.
7.3 Modification or Termination of the Referral Program
Oceanic Ventures may modify, suspend or terminate the Referral Program for future referrals.
Changes will not affect rewards already confirmed in writing or qualifying referrals made under an offer before its modification or withdrawal.
7.4 Promotional Discounts, Voucher Codes & Community Offers
Oceanic Ventures may offer promotional discounts, voucher codes, community offers, early booking incentives or special pricing.
Unless the specific offer states otherwise:
Promotional codes may be used only once per participant.
Promotional codes cannot be combined with other discounts, referral rewards, ambassador agreements, scholarships or special offers.
Promotional codes have no cash value and cannot be redeemed for cash.
Promotional discounts apply only to new bookings and cannot be applied retroactively.
Promotional offers may be modified or withdrawn for future bookings. Offers already accepted as part of a confirmed booking will be honoured.
Where a discount has been obtained through fraud, duplicate use or a clear breach of the offer conditions, Oceanic Ventures may withdraw the discount and request payment of the outstanding balance after providing written notice and an explanation.
Any additional offer-specific conditions will be communicated before booking.
